AI on a Drifted CRM Just Drifts Faster

By Simon Reed

CRM drift is gradual. The team starts keeping notes in a spreadsheet. A few fields stop being filled in. Reports become something people quietly double-check. Eventually nobody fully trusts what the system says.

Now add AI to that picture.

An AI tool asked to summarise your pipeline will summarise the pipeline you have, including the deals that died months ago but were never closed. Ask it to draft follow-ups and it will write to the contact details on file, including the out-of-date ones. Let it update records automatically and it will add more data to a system that already has too much of the wrong kind.

AI doesn't create the drift. It speeds it up, and it makes the output look confident, which can be worse.

What to do instead

  1. Find out where the drift is. Which parts of the CRM does your team trust, and which do they work around?
  2. Fix the foundations. Agree what each stage, field and record type means, tidy the data, and make sure someone owns it.
  3. Start small with AI. Choose one or two routine tasks where accuracy is easy to check, and let AI draft rather than act until you trust it.
  4. Keep checking. Review what the AI is doing on a regular basis, just as you would a new member of staff.

Done in that order, AI becomes a sensible next step rather than another layer of noise.

A CRM Health Check is a good place to start if you're not sure how far your system has drifted.
